Job Title: Office Operations Intern
Location: Falmouth Road Race, Inc. offices, 155 Katharine Lee Bates Road, Falmouth, MA
Reports To: Office Manager
Duration: Internship – Race Season (approximately May – September)
The Falmouth Road Race is a globally recognized running event dedicated to promoting health, wellness, and community engagement. Since 1973, we have brought together athletes, volunteers, and supporters to celebrate the spirit of running while making a meaningful impact through our charitable initiatives, including our Numbers for Nonprofits program. As a member of our team, you will contribute to our mission and help uphold the legacy of this iconic event.
Key Responsibilities:
- Assist with administrative tasks, including organizing files, managing documents, and maintaining records.
- Support the sponsorship team by researching potential sponsors and assisting in the preparation of sponsorship proposals.
- Help track and manage sponsor agreements, contracts, and deliverables.
- Assist in coordinating logistics for events, including scheduling meetings, managing correspondence, and preparing materials.
- Provide support in developing marketing materials such as presentations, emails, and social media content.
- Help monitor and report on the fulfillment of sponsorship agreements and event-related commitments.
- Assist in organizing sponsor and partner meetings, taking notes, and maintaining accurate records of interactions.
- Support office operations by handling day-to-day tasks that contribute to the efficiency of the team.
- Provide on-site assistance during race week and weekend, helping with sponsor coordination and event logistics.
- Assist with post-event follow-up, including gathering feedback and organizing reports.
Qualifications:
- Currently pursuing or recently completed a degree in Business Administration, Communications, Marketing, Event Management, or a related field.
- Strong organizational and multitasking skills with great attention to detail.
- Excellent written and verbal communication skills.
- Proficient in Google Workspace (formerly G Suite) including Gmail, Google Drive, Sheets, Slides, Calendar, and Meet; familiarity with Canva, CRM systems or project management tools a plus.
- Ability to manage multiple tasks in a fast-paced environment while meeting deadlines.
- Strong problem-solving skills and ability to work independently and collaboratively.
- Comfortable handling administrative duties and assisting with event logistics.
- Positive attitude, eagerness to learn, and a proactive approach to tasks.
- Willingness to work flexible hours, including occasional weekends during events.
- Prior experience in an office or event setting is a plus but not required.
- Must be available to attend all race week events.
