Job Title: Invited Athlete Coordinator Support Intern
Location: Falmouth Road Race, Inc. offices, 155 Katharine Lee Bates Road, Falmouth, MA
Reports To: Athlete Program Managers
Duration: Internship – Race Season (approximately May – September)
The Falmouth Road Race is a globally recognized running event dedicated to promoting health, wellness, and community engagement. Since 1973, we have brought together athletes, volunteers, and supporters to celebrate the spirit of running while making a meaningful impact through our charitable initiatives, including our Numbers for Nonprofits program. Key Responsibilities:
- Assist in researching and identifying elite and professional athletes for event participation.
- Support the athlete services team in coordinating athlete invitations, travel, and accommodations.
- Help track and manage athlete agreements, contracts, and event requirements.
- Coordinate logistics for athlete check-in, transportation, and race-day needs to ensure a seamless experience.
- Monitor and report on athlete participation, ensuring all commitments and requirements are fulfilled.
- Assist in developing athlete-related communications, including emails, itineraries, and event materials.
- Help organize athlete meetings, press engagements, and race-day hospitality.
- Maintain accurate records of athlete interactions, event participation, and performance results.
- Provide on-site support during race week and weekend, assisting with athlete services and coordination.
- Assist with post-event follow-up, including gathering feedback from athletes and preparing summary reports.
Qualifications:
- Currently pursuing or recently completed a degree in Sports Management, Event Management, Marketing, Communications, or a related field.
- Passion for athletics, endurance sports, and event coordination.
- Strong organizational and multitasking skills, with the ability to manage multiple athlete logistics.
- Excellent communication and interpersonal skills to engage with athletes, sponsors, and event staff.
- Detail-oriented with the ability to track agreements, schedules, and event requirements accurately.
- Ability to work well under pressure in a fast-paced, event-driven environment.
- Proficient in Google Workspace (formerly G Suite) including Gmail, Google Drive, Sheets, Slides, Calendar, and Meet; familiarity with Canva, CRM systems or project management tools a plus.
- Willingness to work flexible hours, including weekends and early mornings during race week.
- Team-oriented mindset with a proactive and problem-solving approach.
- Experience in event planning, hospitality, or sports coordination is a plus but not required.
- Must be available to attend all race week events.
